Coaching log: what ICF and EMCC expect from you

If you are an ICF- or EMCC-certified coach, or working toward accreditation, you have probably heard of the coaching log. Some will tell you it is mandatory; others that it is useless. The reality is more precise: and less burdensome, than many believe.
What is expected of you is simple: being able to justify your hours if asked. Not by systematically submitting a detailed coaching log, but by having reliable, organized data ready to provide supporting evidence.
Here is what that means in practice, for ICF and for EMCC.

1. What ICF requires:
When you submit an ICF certification application (ACC, PCC, or MCC), you do not have to provide a detailed coaching log with your clients' information. You simply declare the total number of hours completed and attest on your honor that they meet ICF standards.
Then ICF conducts audits.
On a random basis, among candidates in the certification process, ICF may select coaches for verification. In that case, you will need to provide information that allows your clients to be contacted, or, for confidential internal coaching assignments, an authorized person within the relevant organization, to confirm your hours.
What this means for you:
- Having obtained consent from your clients to store their contact details and use them for this purpose
- Being able to find and produce quickly a summary of your hours by client
- Distinguishing paid hours from pro bono hours (both categories count differently depending on the level you are targeting)
In other words: you do not have to keep a coaching log in the strict, standardized sense, but you need organized data, ready to be produced on request.
2. What EMCC requires:
Individual EMCC accreditation (EIA) works on a similar principle, but with a more comprehensive application file. Among the documents to compile:
- A client register: tracking your professional practice hours
- A CPD journal: tracking your continuing professional development hours
- A supervision journal: tracking your supervision hours with an accredited supervisor
- A reflective practice journal including client cases
The client register is therefore a formal document to produce, but it is a summary of your practice hours, not a detailed session-by-session journal. EMCC expects you to demonstrate that you have completed the volume of experience required for the level you are targeting, with the corresponding client types.
3. What "coaching log" means in practice
The term coaching log actually covers two distinct things, often confused:
The certification log: a register of your practice hours, structured to meet ICF or EMCC requirements: number of sessions, duration, client (identified or anonymized), type (paid / pro bono). This is the document you must be able to produce in the event of an audit.
The session journal: qualitative notes you take for your own follow-up, objectives worked on, insights, commitments, next steps. This document is personal, is never submitted to the federations, and relates to your professional practice rather than a certification obligation.
Two different tools, two different purposes.
Confusing the two means either imposing unnecessary administrative burden on yourself, or missing what is actually required.
4. The most common mistake
Most coaches who run into problems during an audit often share the same profile: they accumulated coaching hours without keeping structured records, and find themselves reconstructing months of activity from memory, from scattered emails, archived notebooks, and an agenda that is often out of date.
Reconstructing your coaching log after the fact is very time-consuming. And above all, it is risky: if you cannot find a client's contact details from last year, you cannot ask them to confirm your hours. Those hours do not count. Not to mention the ones you will have forgotten.
Good practice, therefore, is to document these coaching hours as you go. It is not about filling out a complex form after each session, but making sure that each session leaves a usable trace: date, duration, client, type of service.
