GDPR information for Follow Lab PRO users

The GDPR imposes obligations on professionals who collect, use, or retain personal data. As a coach, trainer, or consultant, you are responsible for the data you process for your clients.
This article aims to inform you about issues related to using Follow Lab PRO in compliance with the GDPR and does not constitute legal advice. Follow Lab PRO provides only the platform for managing and analysing data.
Thus, it is important to emphasise that Follow Lab PRO is not intended to access or process personal data or any other data collected via the platform.
Responsibility for collecting, processing, and managing data lies exclusively with the platform user.

GDPR information for Follow Lab PRO users

1. Understanding your responsibilities

When you use Follow Lab PRO, you act as the data controller for your clients. This means that:
You must explain to your clients why and how their data is used.
You are required to ensure the security and confidentiality of personal data.
You must respect their rights (access, rectification, deletion, etc.).
You must keep up with legal developments to ensure compliance with any legislative and regulatory changes.

2. What you must do before using the platform

A. Inform your clients

Draft an information sheet or add a clause to your contract explaining:
What personal data you collect (name, email, exchange history, etc.)
Why this data is collected (e.g.support follow-up)
How long this data will be retained.
Your security measures (e.g.secure platform, encrypted data).
Here is a sample clause to review, complete, and insert in your contracts:
"The personal data collected as part of the support is used strictly for follow-up and personalisation of services. This data is stored on a secure platform and is accessible only to the person or people supporting you. In accordance with the GDPR, you have the right to access, rectify, and delete your data."

B. Obtain explicit consent

Add a checkbox on your forms or contracts:
Example: "[x] I agree that my personal data may be processed as part of my support."

C. Keep a record of processing activities

Note in a simple table the data you process, its purpose, retention period, and where it is stored. A template provided by the CNIL is available here.

3. Using Follow Lab PRO in compliance with the GDPR

A. Configure your Follow Lab PRO space and your support programmes

Collect only the data necessary for your activity (for example: no need for a postal address if it isn't useful).
Use a strong, unique password to access your account on the platform.

B. Use the platform's features

Secure client space: Encourage your clients to use their dedicated space to exchange sensitive files and messages, rather than email.Limited sharing: Never share client data without their consent.

C. Delete data after the support programme ends

Once support is complete, archive or delete client data in line with what you have communicated.

4. In case of problems or client requests

A. Request to access or delete data

If a client wishes to access their data or request deletion, you can:

  • Download the data from the platform.
  • Delete the client's account directly via your interface.
B. Data breach

If you detect a leak or unauthorised access to data:Notify Follow Lab PRO promptly via contact@followlab.io
Inform the affected client and, if necessary, the CNIL (within 72 hours)
